ResidentFi Privacy Policy

Section 1
Scope and who we are

ResidentFi (“ResidentFi,” “we,” “us,” or “our”) is headquartered in Las Vegas, Nevada, and provides property-wide managed Wi-Fi, bulk internet, streaming television, and telephone service for apartment communities, student housing, senior living, military housing, condominiums, and campuses across the United States. ResidentFi is built on the principle that a resident network should be as private as a home network. We collect only what is needed to deliver, secure, support, and bill for service, and we never sell resident browsing data.

This policy applies to the website located at residentfi.com and its subdomains, to our resident onboarding and support portal, to information you submit through our online forms, and to information we obtain while designing, installing, operating, supporting, and billing for networks and services at the properties we serve. It applies to the property owner, developer, manager, or association that contracts with us (the “Community”), to residents, students, staff, and guests who use a network we operate (each an “End User”), to vendors and partners, and to general visitors to this website.

Our commercial customer is the Community or Property, and our agreement with that customer governs how we handle information on its behalf. Where a signed services agreement, management agreement, brand standard, or nondisclosure agreement imposes stricter confidentiality or data-handling obligations than this policy, those terms govern the information they cover. This policy does not apply to third-party websites, streaming services, or applications that you reach through a network we operate.

Section 2
Information we collect

We collect only what we need to quote, design, install, operate, secure, support, and bill for service. We group that information into five categories.

Information our customers and End Users give us directly

  • Contact and inquiry information submitted through our free property assessment, quote, coverage, and support forms and by email or telephone: name, company or property name, job title, property address, mailing address, telephone number, and email address.
  • Property and project information: unit, room, or bed counts, building plans and floor layouts, existing wiring and equipment inventories, amenity and common-area details, desired service tiers, and target completion dates.
  • Service enrollment information collected through resident onboarding: unit or room number, move-in and move-out dates, number and type of devices, personal network (PAN or VLAN) credentials, and television and phone add-on selections.
  • Personal area network information: the private Wi-Fi name and credential assigned to a unit, the devices that join it, and the IoT or smart-home devices the Community asks us to connect.
  • Billing information: billing contact, purchase order and tax identifiers, remittance details, and, where a Community, Property, or End User pays us directly, payment card or bank account information. Card and bank data are collected and processed by a PCI DSS compliant payment processor; ResidentFi does not store full payment card numbers on its own systems.
  • Support communications: trouble tickets, chat transcripts, correspondence, and, where you are told in advance, recordings or transcripts of support and sales telephone calls.

Information generated by operating the network

  • Device identifiers needed to admit a device to the network and keep it connected: MAC address, assigned IP address, device type and operating system as reported by the device, hostname, and the access point, switch port, VLAN, or personal network the device is associated with.
  • Session and authentication records: sign-in time, sign-out or lease expiry time, the credential or portal method used, and the unit, room, or event the session belongs to.
  • Network performance and utilization telemetry: throughput, latency, jitter, packet loss, signal strength, channel utilization, client counts, error counts, and outage and restoration records, used for capacity planning and support.
  • Call detail records for telephone service: numbers dialed and received, date, time, duration, and the extension or unit placing the call. Emergency (911) calls also transmit the registered dispatchable location for the extension.
  • Television and casting service records: channel lineup assignment, set-top or casting device identifiers, and pairing sessions. We do not keep a record of the programs an individual End User watches.

ResidentFi does not inspect, read, log, or sell the content of End User internet traffic, email, messages, streaming, or telephone conversations. We do not perform deep packet inspection for marketing or advertising purposes. We inspect traffic only at the header and flow level, and only for network operation, capacity planning, abuse and attack mitigation, and lawful compliance.

Information collected automatically on this website

  • IP address, approximate city- or region-level location derived from that address, browser type and version, operating system, device type, screen dimensions, and language settings.
  • Referring URL, pages viewed, time on page, scroll and click interactions, files downloaded, and exit pages.
  • Cookie and similar identifiers as described in Section 5.

Information from third parties

  • Our Community and Property customers, who provide the unit, room, resident, or guest records needed to provision service, as permitted by their own privacy notices.
  • Property-management, hospitality, and student-housing software platforms the customer connects to our systems for move-in, check-in, and billing automation.
  • Business credit reporting agencies and public commercial records, used for credit and fraud review on new commercial accounts.
  • Underlying carriers, television programmers, and equipment manufacturers, in connection with circuit provisioning, content licensing, and equipment warranty and support.
  • Advertising and analytics partners, which may return aggregated campaign and audience measurement data about this website.

Sensitive information we do not seek

We do not knowingly collect Social Security numbers, precise geolocation, biometric identifiers, health information, or information about race, religion, sexual orientation, or political affiliation. Please do not include such information in support tickets or form submissions.

Section 3
Customer Proprietary Network Information

Where ResidentFi provides telephone service, we handle Customer Proprietary Network Information (CPNI) in accordance with Section 222 of the Communications Act of 1934, as amended, 47 U.S.C. § 222, and the Federal Communications Commission rules at 47 C.F.R. §§ 64.2001 through 64.2011. CPNI includes the quantity, technical configuration, type, destination, location, and amount of use of telephone service, and the related billing information.

We use CPNI to provide, bill for, repair, and protect the telephone service you subscribe to, and to market additional services within the same category of service you already receive. We do not use CPNI to market other categories of service, and we do not share CPNI with third parties for their own marketing, without your approval. You may restrict our use of your CPNI for marketing at any time by contacting us as described in Section 14; restricting CPNI use will not affect your service.

We authenticate callers before disclosing call detail information over the telephone, we provide account information online only after password or multi-factor authentication, and we notify the account holder of changes to the account password, address, or authorized contacts.

Section 4
How we use information

We use the information described above for the following purposes, and we do not use it in ways that are materially different without updating this policy.

  • Delivering service: surveying and designing a network, provisioning circuits and equipment, admitting devices, assigning personal networks, extensions, and television lineups, and keeping service running.
  • Supporting End Users and customers: diagnosing connectivity problems, responding to tickets and calls, dispatching technicians, and following up on resolution.
  • Securing the network: detecting and blocking malware, botnets, denial-of-service attacks, rogue access points, unauthorized devices, and abusive traffic, and enforcing acceptable-use rules set by the Community or Property.
  • Billing and account management: invoicing, collecting payment, applying credits, and reporting to the Community or Property on service levels and usage in aggregate.
  • Improving our services: capacity planning, coverage optimization, product development, and training support staff, using aggregated or de-identified data wherever practical.
  • Marketing to businesses: sending property assessments, proposals, service updates, and industry information to property owners, managers, and brands who have asked for them or with whom we have a business relationship. We do not send marketing to End Users on behalf of third parties.
  • Legal compliance: meeting carrier, tax, accounting, 911, CPNI, accessibility, and lawful-process obligations.

Section 5
Cookies, analytics, and similar technologies

This website uses a small number of cookies and similar technologies. Strictly necessary cookies keep forms working and protect against cross-site request forgery. Analytics cookies, set by Google Analytics, help us understand which pages are useful; IP addresses are truncated and we do not use Google signals for advertising personalization. We honor the Global Privacy Control signal where our analytics configuration supports it, and you may disable cookies in your browser without losing access to any page on this site.

Our resident onboarding and support portal may set a session cookie or token so that a device stays signed in for the duration of its lease, stay, or event. These identifiers are tied to the session, not to a marketing profile, and expire when the session ends.

We do not place third-party advertising cookies on this website or on the networks we operate, and we do not inject advertisements, interstitials, or tracking headers into End User traffic.

Section 6
When we share information

We share personal information only in the following circumstances.

  • With the Community or Property we serve: aggregate utilization and service-level reports, the status of individual service orders and tickets, and, where the customer administers access on its own property, the device and session records needed to do so. Our customers are responsible for their own notices to residents, students, and guests.
  • With service providers acting on our behalf: underlying carriers and internet service providers, equipment and cloud-controller manufacturers, television programmers and streaming platforms, telephone and 911 routing providers, payment processors, ticketing and email platforms, and field-service contractors. Each is bound by contract to use the information only to provide its service to us.
  • For emergency calling: the dispatchable location registered to a telephone extension is transmitted to public safety answering points when 911 is dialed, as federal law requires.
  • For legal reasons: in response to subpoenas, court orders, lawful requests from law enforcement or regulators, or where disclosure is necessary to protect the rights, property, or safety of ResidentFi, our customers, End Users, or the public. We review every request for validity and scope, and we notify the affected customer where the law allows.
  • In a business transaction: if ResidentFi is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We have not done so in the preceding twelve months.

Section 7
Your privacy rights

Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy of it, to correct inaccurate information, to delete information, to restrict or object to certain processing, and to opt out of the sale or sharing of personal information or targeted advertising. We extend these rights to every individual in the United States regardless of state of residence.

To exercise a right, contact us as described in Section 14. We will verify your identity by matching the information you provide against the records we hold, or, for End Users, by confirming through the Community or Property that you are the person associated with the unit, room, or session in question. You may designate an authorized agent to make a request on your behalf; we will ask the agent for written authorization and may ask you to confirm it directly. We respond within forty-five days and will tell you if we need an extension. We do not discriminate against anyone for exercising a privacy right.

Nevada residents: under NRS 603A you may direct us not to sell covered information. We do not sell covered information, and you may submit a request to record your preference at the address in Section 14.

California residents: the categories of personal information we have collected in the preceding twelve months are identifiers, commercial information, internet and network activity information, professional information, and, for telephone service, call detail records, each for the purposes listed in Section 4 and the sources listed in Section 2. You have the rights described above under the California Consumer Privacy Act, including the right to limit the use of sensitive personal information, which we do not collect.

Section 8
How we protect information

We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. Networks we operate isolate each unit, room, or guest session from every other by default, using per-session or per-unit encryption keys so that one End User cannot see another End User’s devices or traffic. Management interfaces are reachable only over encrypted connections with multi-factor authentication, access is limited to personnel who need it, administrative actions are logged, and equipment is kept on supported firmware with security patches applied on a defined schedule.

Web forms are served over TLS, passwords are stored only as salted cryptographic hashes, and payment data never touches our servers. We test our controls regularly and we require the same of the service providers listed in Section 6. No method of transmission or storage is perfectly secure, and we encourage End Users to keep their own devices updated and to use the private network credentials we assign rather than sharing them.

Section 9
How long we keep information

We keep personal information only as long as it is needed for the purposes in Section 4 or as the law requires. As a general rule: device admission and session logs are kept for ninety days for troubleshooting and security, then deleted or aggregated; network performance telemetry is kept in de-identified form for capacity planning; call detail records are kept for eighteen months to meet billing and regulatory requirements; service orders, contracts, and invoices are kept for seven years for tax and accounting purposes; and support tickets are kept for three years. Enrollment records for an End User are deleted or anonymized within ninety days after the Community or Property tells us the resident has moved out or the guest stay has ended, unless an open billing or legal matter requires longer retention.

Section 10
Security incident notification

If we determine that personal information has been acquired by an unauthorized person, we will notify the affected Community or Property promptly and will notify affected individuals and regulators within the time required by applicable law, including NRS 603A.220 and the breach-notification laws of the state where an affected individual resides. For telephone service, we will notify the United States Secret Service and the Federal Bureau of Investigation of a CPNI breach as required by 47 C.F.R. § 64.2011 before notifying customers, unless the agencies direct otherwise.

Section 11
Children

This website and our services are directed to businesses and to adults. We do not knowingly collect personal information from children under thirteen through this website. On networks we operate in family communities and hotels, devices belonging to children may connect under an adult’s enrollment; we treat those records as belonging to the enrolling adult and we do not build profiles of minors. If you believe a child has provided personal information to us directly, contact us and we will delete it.

Section 12
Third-party services and links

Networks we operate carry you to the open internet. Streaming services, casting platforms, websites, and applications you use through a ResidentFi network have their own privacy practices, and the Community or Property that contracts with us may have its own house rules, acceptable-use policy, and privacy notice. We encourage you to read those documents. Links on this website to third-party sites are provided for convenience and do not mean we endorse or are responsible for those sites.

Section 13
Changes to this policy

We review this policy at least annually and whenever our services, our vendors, or the law change in a way that affects it. The effective date at the bottom of this page tells you when it was last revised. For material changes, we will post a notice on this website for at least thirty days and will notify our Community and Property customers directly so they can inform their residents, students, and guests.
